Shared folders and more in Google Docs

Today, we are happy to announce the updates to the Google Docs docs list that we promised in July. We're rolling out these updates gradually, so they should be available to everyone soon. The biggest update is the introduction of shared folders -- far and away the most requested Google Docs feature. Shared folders work how you would expect them to and we hope they will make it easier for teams and groups to collaborate on documents together.



To share a group of items, all you have to do is put them all into a folder and share the folder. As you'd expect, if you add an item to a shared folder, it will automatically be shared and if you add someone to an existing shared folder, they will instantly get access to all of the folder's content.

We've also made it easy to upload multiple items to Google Docs. Instead of picking one file at a time, our new upload page lets you choose multiple files and upload them simultaneously, in just a couple of steps.

First click on "Select files to upload" and use "Shift" or "Ctrl" to pick multiple files. Then press "Start upload". We added progress bars so you'll be able to watch the upload as it progresses.



We've also brought back "Items not in folders" (under "More searches"), based on your feedback.

On the whole, "Items not in folders" works the same
  • When you create an new item or an item is directly shared to you, it's in "Items not in folders".
  • When an item is shared to you via a folder, it's not in "Items not in folders".
  • When you add an item to a folder, it will no longer be in "Items not in folders".
  • When you remove an item from all its folders, it will once again be in "Items not in folders".
Since many of you have been using this view as a workflow tool (perhaps you keep drafts and to-do's "not in folders" and then when they are done, move them to a folder), we've made one change to ensure the filter functions as expected in light of the new shared folders. If you share an item with me and I put it in a shared folder, it is still in your "Items not in folders" view. The reason is that I shouldn't be able to change your workflow. As a result, you'll occasionally see an item with a folder tag in your "Items not in folders" view. This is an item that someone else put in a shared folder, but you've never put in a folder.

And finally, we've also updated the look of the interface. For the most part, we changed colors, spacing and moved some buttons around, but we also improved the old "Move to" dialog. The new "Folders" dialog let's you completely control which folder or folders an item is in. And when you're in a folder, you also have the "Move to" dialog which lets you quickly move an item to a different folder.

I also loved the new interface, but I have one little suggestion: add an option to create a new folder in the "Move to" and "Folders" menus. (I just hate having to go to another menu when I realize I don't have a specific folder to some files yet)

Cool features. Have you or any word on lifting the file size limits. This is the biggest problem we face with moving over. You are only allowing floppy disk sized files in a cloud world which is a bit sad and a real showstopper.

Thanks Google. Sharing folders is a great feature, albeit less important than items not in folders. Thanks for fixing that too, these three months have been painful.

Since I can't switch to the old interface, I can't compare them. If a user complains about a missing feature, I have to rely on memory to know if they are correct. Although we now have the new interface, this situation where Google forces what features are available and when, is still troubling. Google must do things in a more controlled way, so users aren't surprised and suddenly all looking for support.

I'd really like to hear what Google has to say about this.

Fantastic - this will be very useful.
I do however have a question - I just tried implementing a set of folders across various organizational groups I have within a Google Apps account, and after choosing to share a folder, and entering a group name, it hasn't shown up in the relevant users' accounts. Is this feature not supported yet?

Also, I have to agree with Mike - as great as new features are, those of us now using Google Apps in a professional context need to have some way of preparing for and if possible managing rollouts of new features for our users.

I've just been trying to share a folder with a Google Group, and it doesn't seem to work. It should be just like sharing a document with a group. It this functionality coming?

Any plans to enable multiple downloads, for creating backups?

I know there is the offline feature, but this only stores the files on the computer in a format that is readable by Docs. I want my backups to be in the form of .doc and .xls files.

Wonderful improvements. I like the folder share option.

What I think is unfortunate, though, is that you can't work with labels like in Gmail. This way, you could create one document and share it to more 'folder' or groups of people in an easy way.

Great Stuff BUT I still can't stop GD Spreadsheet using US date formats, despite having UK settings. Even when set correctly to UK formats some cells revert to US. This is a HUGE BUG for me

As of yesterday - 10/12, I can't get any files to upload. I am trying to upload word (.doc) files. They are well within the limit. I keep getting message "can't read file". Can anyone help.

This is great! BUT when someone shares a folder AND a subfolder within that folder with me, that subfolder is there twice (once under the main folder, and again on it's own).. which is fine but it makes for a VERY messy list of folders. If this did not happen I would have the tidy hierarchy of folders that the person who shared has. Are you able to tweak this?

I am having the same problem as My personal weblogs for groups and individuals. it appears if i use an email that is not a gmail address for folder sharing it doesn't work, BUT based on limited testing if it is a gmail address it works. This is different than the individual files in a bad way.

Hi Everyone,

We temporarily removed the ability to upload multiple files. We plan to return this functionality to the docs list again very soon, so thanks for bearing with us. We will let you know once it's available again.

Also, a few people have asked about sharing folders with groups. Today, to prevent spam, only items shared directly to you automatically appear in your docs list.

So, when you share a folder with a group, the folder doesn't automatically show up in the group members' docs lists. Once the users click on the link the sharing email, this folder will be added to their docs list.

We recommend when important folders are shared via a group, that the user add the folder to their "My Folders" list (using the "Folders" dialog) so that they can find it easily next time they need it. We are always looking at ways to improve the user experience and welcome your suggestions.

It turns out there were some technical problems with the multiple-upload feature. As a result, it has been pulled temporarily. Once the technical problems have been sorted out, it will return.

I tried to change the ownership of a folder that has mixed content (docs, spreadsheets), and it doesn't show up in the new account... but now I also can't change it from the old one, because it says I don't own the folders anymore! Help, please!

Try this.

Login with the original owner's account.

Visit the folder that you are no longer the owner for.

Copy that URL and keep it in your clipboard or store it in a notepad file or somewhere safe.

Logout and log back in as the new owner. (Or have the new owner login.)

Once logged in as the new owner, visit the URL you previously copied into the clipboard.

From there, see if you can add that folder to "My Folders".

Love the shared folders but ... when I shared a folder, it was done correctly. Later I added 2 more files to the folder and two hours later, they are still not showing up in the other person's account. Anyone else having this problem?

You should be able to find the folder in the new account using search. Once you find it, you can add it to "My Folders".

Is there a way to publish the new folders view so that it can be embedded in a website and stay there? It shows up in the iFrame for a few seconds and then jumps to a new page.

I can embed the spreadsheet and the associated form ,but if I edit the spreadsheet, it loads in a new window.

It is confusing to my users.

Now that we have Folders we will:
Name our documents differently (shorter)
Have more documents

INSERT LINK to Document
When inserting links to documents, we still get the hellishly-long-list of all docs

We need a way to filter these to make sense of them all.

Show folders tree
Show filter by doc type (doc, xls, ppt, pdf)

I think you misunderstood what I mean.
I am referring to:

Google Docs - Document
(Gmail or GDocs)

Within a Document
Insert Link | Document

When you want to insert a link to another document, the list that pops up as choices is one long list of all your docs.

This is not very usable when you have >50 documents, many of which may have the same or similar names, because now you are grouping documents by folders.

Once you have folders and (finally) return to the normal world of desktop document usage, you tend to have many folders, often with docs inside that have similar names.

- Client 1
- Proposals
- Website proposal
- Website mockups

- Client 2
- Proposals
- Website Proposal
- Website Mockups


In the old days before folders you would create files like this:

- Client1_Website Proposal
- Client2_Website Proposal

Now you start to drop the ClientX_ part but now are stuck with a lot of similar/dupe file names in each folder

The INSERT/LINK option could easily be replaced (or enhanced) with the Google Docs picker to solve most of your problems. So, I see this as being "in the works".

Vijay, can you be more specific about how to add the shared folders to the group members' document lists?

I am using google documents on a domain, and when I share a folder with the domain, no invitation is sent out. If I obtain a link to the folder (private link, as these documents are only being made available to the domain), that link will show the documents, but it does not make the folder show up in the member document lists automatically - when the user navigates away from the page, they cannot get back to it without clicking the same link again.

You mentioned "We recommend when important folders are shared via a group, that the user add the folder to their "My Folders" list (using the "Folders" dialog) so that they can find it easily next time they need it."

Can you explain how to do that? When I am looking at the shared folder, there is no option to add the folder to the "My Folders" list. Thanks

I like the new folders but they would be much more useful if anyone that I share a folder with could put documents into the folder. Having one person have to do it really limits the usefulness of this otherwise great feature.

Also, you need to fix the problem that does not allow some accounts to share items with people who do not have a Gmail account.

If the person you share the folder with is given EDIT access, both you and the other person can add files to the folder.

The theory is, adding a file to a folder "edits" that folder.

What SHOULD be possible is to give a "folder" a different type of access than the files within. For instance, I should be able to allow the "folder" to be edited while the files could be read-only.

Perhaps, in the meantime, this may be possible by sharing the folder in EDIT mode... then manipulate each file within to READ-ONLY if this is what you intend.

All users sharing a folder are able to add documents to the folder, but it's a gross hack to get that to work:

Step 1). Make a folder and share it
Step 2). Make a SUB-folder, and share that, too.
Step 3). Obtain a link to the shared folder (click and select "Share | Get the link to share)
Step 4). Switch to one of the accounts the folder is being shared with
Step 5). Go to the link to the shared folder
Step 6). Click "Edit / Manage Folder"
Step 7). Click on the sub-folder to select it
Step 8). Click on the "Folders" drop-down, and select "My Folders".

The shared sub-folder will now also appear in your "My Folders" list, and you can put documents in it (and they will appear to all the users sharing the folder).
- This ONLY works with sub-folders. You CANNOT get access to the top-level folder because shared folders are BROKEN (no response yet from Google re: this)
- If the shared folders feature were working properly, the shared folder would appear automatically under "Folders Shared With Me".
- Do NOT use the "Move Folder" drop-down - that will take ownership of the folder away from everyone it is shared with.

Any updates on this feature, Google?

Yep, that's correct - until Google finishes the Shared Folders feature.

You can use Google Groups to create a group with those 2000 users.

Then, when you share a folder with the email address for that Google Group, and have it send the email... all 2000 users will get the email and will have access to the contents of the folder.

@John - I don't work at Google, or anything, so I don't know any more detail than you do. I do know that the Shared Folders feature doesn't work on domains, so I can only assume that they consider it to be unfinished.

Without shared folders Google was effectively USELESS for us and we were seriously considering abandoning it and forking out some serious money on a restrictive and over-priced practice maagement system. Talk about being saved at the 11th hour! The multiple file uploads is also incredibly useful.

I'm still 100"% stumped about how to make a folder which has been shared with a group appear in their folder list. Both suggestions by Vijay do not work. He said:

Yep. Sucks, doesn't it? This Shared Folder feature is clearly not done, yet. I can't seem to get anyone at Google to acknowledge this.

I've tried this, and I recommend NOT doing that. It gets very messy very quickly having a "copy" of a shared folder under "My Folders". You can't delete it because you don't own it! It's a hack.

The way to accomplish getting a link to a shared folder in your "My Folders" list (again, I do NOT recommend it) is to make a folder and a sub-folder. Share the folder with a group. When you click the link to access the folder, you should see the sub-folder. Click the check-box on the sub-folder, click the folders dropdown, and select "My Folders". You will now see the sub-folder under "My Folders". Note that you CANNOT make a link to the parent shared folder. This is simply because there is no way to be able to check a box next to it because it will not show up in any list that has checkboxes. Google Document list is just really really poor right now and the shared folders ONLY works when you directly share with individual google accounts.

Again - Can somebody at Google please comment on the bugs in this feature?? Even if you're just going to say "we're aware of it and working/not-working on it". ESPECIALLY if you want help testing something - we NEED this feature in order to be able to use shared folders.

Thanks Jeff. I would never have thought of trying that. Unfortunately, as you suggest, the subfolder method isn't something I can recommend to our general Google Apps user base.
I just need a way to create a shared folder which we can use to place company-wide or department-wide documents. But, the feature as released falls very very very short of this. It seems they went to alot of work to create a feature which is only useful when sharing with 2 or 3 people, rather than develop something which would help them sell Google Apps Premier Edition.

Vijay says this was designed this way to "prevent spam". So, now Google is worried about users within the same Google Apps account spamming each other? I don't get it. Don't they have real things to worry about?

At the moment, one workaround is to add all the users to the shared folder invite list individually. It's a real pain to have to do it like that, especially when there is a large number of users, but at least you only need to do it for the folder and not for every document anymore.

Another workaround that might work better for your purposes - invite the group or domain as you already have, then click on the shared folder and pick "Get the link to share". The page you get when you click that link is not as nice a view as the native google doc view, but it DOES show the contents of the folder, and all the users will be able to edit the documents even if they are not able to see the folder within google docs.

Not exactly. If you don't want the folder to appear in My Folders anymore, you don't "delete" it... for exactly the reason you gave... you don't own it to delete it. You just remove it from that (My Folders) folder.

You'd just select MY FOLDERS in the tree. Click the check-box next to the folder on the right-hand-side which you want to remove. Then, click the FOLDERS menu item. Finally, UNCHECK "My Folders" in that list. Apply changes.

Essentially what you're wanting to do is take the folder OUT of the My Folders container... not actually DELETE the folder.

So close. Now if there was a way to have a url to email a pdf to a folder. IE fax server that forwards the fax to the folder so the users can check faxes and other users would know.

I continually get "file too big" messages when attenpting to upload a 12+GB file, the message reads, "size limit 500KB" but the app says, "load file sizes up to 25MB, smaller for shared Google Docs"

The file has many embedded jpegs.
